KiPT Voice is developed and tested with a German internal medicine practice. The closed beta is now opening gradually to more practices with long consultations.
Where the recording sits decides everything
Many documentation tools upload the audio recording to a server for processing and delete it after transcription. KiPT Voice does not upload it in the first place.

This compares two ways of handling audio, not individual products. A provider’s privacy policy should explain what happens to the recording.
A consultation is not one continuous recording
A long consultation includes real practice life in between: an examination, getting dressed, reviewing laboratory results or taking a phone call. KiPT Voice keeps those segments in one session instead of turning every interruption into a new appointment.
- Pause and resume as often as needed — every segment belongs to the same session.
- If the microphone is disconnected, the segment so far is safe and recording continues afterwards.
- If the machine crashes, it costs one segment — not the appointment.
- Detailed structure rather than three lines, calibrated to long conversations.

Consent and start
Create a session, confirm consent, start recording. Pause as often as the appointment requires.
Stop
The application transcribes the full recording, attributes the speakers and generates the note from your template.
Review and take it over
Check the note, adjust it, copy it — and paste it into your practice software. Finishing deletes the audio files.

KiPT Voice transcribes English-language consultations locally on your computer, then automatically creates a structured German documentation draft. You can stay in your patient’s language during the conversation without translating the documentation yourself afterwards.

What the application does
And, just as importantly, what it explicitly does not do.
A session, not a recording
A session is one appointment and consists of any number of segments. Pause, resume and a disconnected microphone all run through the same path — nothing is lost.
Transcription on your machine
Speech recognition runs entirely on your practice computer. No audio file is transmitted, not even for processing. Consultations may be German or English; the draft is always German.
Speakers are attributed
Doctor and patient are labelled separately, so the history contains what the patient reported and the assessment contains your own words. Attribution can be swapped with one click. If speakers cannot be attributed, the draft is produced from the unattributed transcript — a session is never lost over it.
Your templates — and the evidence they improve
Note templates are plain text and editable without any programming. The application measures, section by section, how much of the generated note you still change. So you can see in black and white whether an edited template actually moved closer to how you write.
Consent is a precondition
Recording only starts once everyone present has consented — as a blocking step, not a dismissible notice. The moment is recorded (§201 StGB, German criminal code).
Not a medical device, deliberately
Suggesting diagnoses or assigning ICD codes requires medical-device approval. Recording what was said does not. KiPT Voice reproduces only what was said in the conversation — clinical judgement stays entirely with you.
Clear data paths, not blanket assurances
You can see exactly what stays on your computer and what is processed.
Audio stays on your machine
Recordings are stored encrypted on disk and deleted when the note is finished. They are never transmitted at any point — so there is no audio transmission for you to assess in the first place.
Only text leaves the machine
If an external service is used to create the draft, only transcript text is sent to it. When the draft is created on the practice computer, the text stays there too.
Retention you decide
Transcript and note are kept for 90 days by default, and the period is configurable. No patient name is ever requested — you choose a session's label freely.
No usage tracking
The application sends no information about how you use it. Technical error reports never contain transcript or note content.

Does this work with my practice software?
You copy the reviewed note directly into your existing practice software. No vendor-specific integration is required.
Do I need an internet connection?
Not for recording or transcription — both run on your practice computer. If the connection drops during a consultation, recording and transcription continue; only the draft is created later. If an external service is used for the draft, only transcript text is sent to it. When the draft is created on the practice computer, the application works entirely offline.
Which machines are supported?
Windows 11 and Macs with an Apple chip. Transcription runs on your practice computer and begins when you pause a segment or end the session.
What happens if the application crashes?
Session state is written to disk on every step, not on a timer. After a crash the application finds the interrupted session on next start and continues processing. At most the segment in progress is lost — never the appointment.
How large is the installation?
On first launch, the application downloads the required language files once in the background. They then remain available for recording and transcription without an internet connection.
Is this a medical device?
No. The application documents what was said. It makes no diagnoses, suggests no differential diagnoses and assigns no ICD codes. It therefore falls outside the scope of the EU Medical Device Regulation.
What about §203 StGB and medical confidentiality?
The pilot includes a data processing agreement, a confidentiality undertaking along the processing chain, a data protection impact assessment template and an Art. 13 GDPR patient notice — prepared for review by your own legal counsel.
Which languages are supported?
Consultations in German and English. The note is always produced in German, because the patient record is German. The interface can be switched between German and English.
